Conference Grants Frequently Asked Questions

Can I apply in advance of the 30 days?

Yes, I can preapprove you for a conference ahead of travel. Please complete the form and send over to Jsadecky@pitt.edu along with proof of presenting to be considered.

Can I apply after travel has happened?

Yes, you may still apply for the PBC grant after your travel if it is within 30 days. The University only allows us to submit receipts within 30 days of travel.  Once you have submitted all materials I will review and accept, or decline based on your eligibility and available funds.

Can I apply if I am receiving Department Funds?

Yes, we ask that you please list other sources on your application so that we can reach out to them and have everything proceesed in one report. Please note if you are a GSR you do not qualify. see below. 

How many times can I receive this grant?

You may receive this award twice. Once after completing 18 credit hours of graduate work. Students in doctoral programs are eligible for a second $600 after passing their PhD Comprehensive Exams.

How soon do I have to submit receipts after travel?

Receipts should be submitted within 7 days of travel to allow appropriate time to submit for reimbursement.

Can I apply for this grant if I am not affiliated with A&S?

No – You must be a graduate student in one of the Arts and Sciences Departments / programs

Am I eligible if I only have 15 credits but will have 18 by time of travel?

Yes, I will consider pre-qualifying you based on having 18 credits by the time of travel.  Submit application and proof of presenting to be considered.

Am I eligible if I am just attending a conference?

No, you must be presenting at the conference to be eligible for reimbursement.

Can i recieve PBC funds if I am a GSR?

Possibly, but most likely No - If you are a GSR (or have been in the past), you must submit a letter from your advisor stating that youhave never received and are not likely to receive travel funds through your advisor or grant (for this tripor future trips). GSRs and other grant-funded students (ex. NSF Fellows) who receive travel funds areineligible for A&S-PBC funds.

How long does it take to receive my reimbursement?

If you are only applying for one source of funding, it can take up to 10 days for reimbursement.  Multiple source reimbursement (ex: PBC, GSO, Dept, GPSG) could take 8 weeks.

What other sources of funding are available? 

Travel funds are available through GSO (Graduate Student Organizatino) or GPSG ( Graduate & Professional Student Government )

Can I split cost/receipts with another Graduate Student? 

Yes, For the reimbursement I will need a copy of the original receipt and then the transaction (payment) made through Venmo. The receipt being submitted for reimbursement must have the last 4 digits of the Credit card # that was used.  

Can I submit partial receipts (airfare, conference registration) now for reimbursement and the rest after travel has taken place?

No - We are unable to reimburse for any receipt pertaining to travel until after the travel has taken place.
